If your firm wants documents read, named, and filed on arrival, and you do not want to pay for seats you are not using, Liscio starts at $19 per user per month with no minimum. If your firm is deeply committed to the Intuit stack and wants storage with traditional folder templating, SmartVault starts at $55 per user per month with a three user minimum.
Both are real products. Both handle secure storage and client file exchange well. The difference that matters is not the feature list. It is which generation of file storage you’re looking for.
Traditional vs. next-generation document management for accounting firms
Your firm receives documents all day. Some come from tax software. Most come from clients, and those arrive named things like IMG_8314312.png and scan0001.pdf.
Somebody has to open each one, figure out what it is, rename it, and put it somewhere. That work is hard to reimagine because it has always been part of the job. It is where too many employee hours go. It’s also how documents get lost, because manually renamed and filed documents are inconsistently applied by humans.
So the real question when comparing a traditional document management system against a next-generation system is whether or not you’d prefer the system to assist in the naming and filing process.
Old storage is a bucket. It holds files, and it makes your staff do the filing. New storage is an assistant that reduces time spent keeping things orderly and searchable.
What SmartVault does well
SmartVault has been serving accounting firms for over fifteen years, and the maturity shows.
Unlimited cloud storage on every plan, with unlimited clients, external collaborators, and users.
Folder templates built for accounting. Their Accounting Pro plan includes accounting and tax specific folder templates. If your firm wants a consistent structure across hundreds of client folders, this works.
A direct integration with Intuit products, which Liscio does not have. SmartVault connects natively with Lacerte, ProSeries, ProConnect and QuickBooks, and it is Intuit’s recommended document management system for those products. That is a real advantage and we are not going to talk around it. If your firm runs Lacerte or ProSeries and wants a document system built jointly with the tax software vendor, that is a legitimate reason to choose SmartVault over us.
SmartRouting for other tax packages. For UltraTax CS, CCH Axcess and Drake, SmartVault uses its own desktop print driver and a file-name routing formula, available on all three accounting plans. It works. It is a different thing from the Intuit integration, built on SmartVault’s side rather than with the software vendor.
Bulk print for organizers and returns on Accounting Pro and above.
A broader compliance certification set. SmartVault carries SOC 2 Type 2, HIPAA, ISO 27001, and ISO 22301. Liscio carries SOC 2 and CASA certification. If your firm’s security review requires ISO certification specifically, SmartVault clears a bar Liscio does not.
Those are genuine strengths. A firm that picks SmartVault for them has not made a mistake.
Where SmartVault leaves work on your desk
Getting files in from tax software splits three ways, and it is worth being precise because each product wins part of it.
For non-Intuit tax packages, the two are even. Both SmartVault and Liscio name and file output printed from UltraTax CS, CCH Axcess and Drake, and both route it using the structured file name the software produces. A return printed out of UltraTax or Lacerte already carries the client, the year and the document name, and both products read it correctly. If printing returns into organized client folders is the whole job, either one will do it.
For Intuit products specifically, SmartVault is ahead. They have a direct integration with Lacerte, ProSeries, ProConnect and QuickBooks. Liscio does not. Liscio receives those using the output printed from the Intuit software, the same way both handle UltraTax CS, CCH Axcess and Drake.
For everything else, Liscio is ahead. SmartVault’s SmartRouting supports UltraTax CS, CCH Axcess and Drake. Liscio’s widget accepts print output from any application such as payroll registers from ADP, the reports from QuickBooks Online or Xero, a bank statement, or a client’s brokerage summary. Liscio sets up a OneDrive folder for you automatically, you print to that folder, and the file arrives in Liscio identified and filed. No downloading from one system and uploading to another, which is the step most firms do dozens of times a week.
Client uploads are a different problem again, and it is the one that separates the products most.
A photographed W-2 arrives as IMG_8314312.png. There is no client in that name, no year, and no document type. There is nothing to route on. So in SmartVault it lands in a folder as IMG_8314312.png, and your staff opens it, recognizes it as a W-2, renames it to your convention, and manually moves it to the right client and year.
That is the expensive half. Tax software output already has structure. Client uploads do not, and clients will never adopt your naming convention. In fact, most team members will inconsistently rename files, making it hard to keep things organized.
Reviewers describe the experience consistently. SmartVault behaves more like a set of well organized shared folders than a system that understands what is in them.
The seat minimum. SmartVault’s lowest plan requires three users. Their accounting specific plans require two. For a solo practitioner, the entry price is not $55 per month. It is $165 per month, because you pay for three seats whether or not three people work at your firm.
Document requests cost extra. SmartVault’s SmartRequestAI generates a request list from a prior year return, sends follow ups, and routes documents into client folders. It is a capable feature. It is also an add on, available only on annual Accounting Pro and Accounting Unlimited plans, priced at $12.50 per return in bundles of fifty at $625 per bundle.
What Liscio does differently
Liscio identifies accounting documents as they arrive and deterministically renames them using your firm’s file-naming convention. Your team reviews before anything is filed, and your firm can always change what Liscio suggests. The result is less work for staff and a clean folder structure that is easily searchable by both humans and agents.
It is built for accounting documents specifically, not a general purpose tool adapted to accounting. Liscio supports 274+ of the most common accounting forms. That includes the ones you expect, like the 1099 series, W-2s, K-1s, and 1040s. It also includes the ones nobody else classifies: more than thirty IRS notices identified by notice number, including CP14, CP504, CP2000, and LTR 226J, plus IRS account transcripts and wage and income transcripts, individual state returns, and quarterly payroll and unemployment forms for all fifty states.
Classification is deterministic for core accounting forms, with broad coverage across most other forms. The same document produces the same result every time. This is because Liscio uses a mathematical multi-pass engine to determine form types, not a general AI that guesses at what the forms are.
Liscio plays well with others. Liscio’s files feature connects with SmartVault, SharePoint, OneDrive, and Google Drive at the $19 tier. This gives firms flexibility as to where and how they store permanent files, client files, and everything in between.
Printing into Liscio works from anything. Liscio sets up a OneDrive folder for you automatically. Set that folder as the print destination in your tax software, your payroll system, QuickBooks Online, Xero, or anything else that can print, and Liscio pulls the file in and helps rename and file it. No downloading from one system to upload into another.
Tax automation
Tax automation is composed of tax information gathering and tax return delivery.
Tax organizers. SmartVault offers document requests that create a tax information request list from a prior year return, send follow ups, and route documents into client folders. It is available only on annual Accounting Pro and Accounting Unlimited plans and is priced at $12.50 per return in bundles of fifty at $625 per bundle.
Liscio offers Personalized Tax Organizers that send a customizable tax questionnaire and a personalized document request list based on the client’s prior year tax information. It costs $5 per organizer with bulk pricing available.
Tax delivery. SmartVault offers tax delivery through a DocuSign integration. You send the PDF, the client signs the authorization form electronically, and the signed copy comes back. That works, and for firms that only need a signature it is enough.
Liscio’s Tax Return Delivery is a guided walkthrough. It splits the return PDF into separately actionable parts and takes the client through each one in order:
- Review the federal return, then the state return
- Sign the e-file authorization forms, with optional knowledge-based authentication
- Payment links for any federal and state balance due, with the payment vouchers presented alongside
- Review the quarterly estimated payments for the coming year
For married filing joint returns, both spouses can sign separately from their own accounts, both can sign from a single device, or a spouse without a Liscio account can sign by email.
The reason this matters is the phone calls. Most firms that use DocuSign or other generic eSign solutions spend unbillable hours coaching clients through their return, what they owe, where to send payments, and how to take care of their estimated payments. DocuSign simply collects the signature while skipping over all of the details the client needs to know. Liscio’s guided walkthroughs fill the gap.

Tax Delivery Scope: Liscio’s personalized tax return delivery feature currently covers 1040 individual federal and state returns. Business returns, K-1 distribution, locality returns, state only filings, and amended returns are scheduled for the fourth quarter of 2026. If most of your delivery volume is 1065s and 1120s, this is not a reason to switch today.

SmartVault has no plan a single practitioner can buy. Their lowest tier requires three users, and their accounting tiers require two. If you are a solo or a two person firm, you are paying for a colleague you do not have.
A two person firm running 200 returns a season. Liscio offers Tax Team plans that include file transfers, the full client portal, and tax organizer and delivery automations. These are offered as a subscription that lowers the cost of automating tax work in the firm.

Two notes on how that table is built.
Accounting Unlimited is the fair comparison, not the cheaper Accounting Pro. Accounting Pro includes a limited allowance of eSignatures charged per send. Unlimited eSignature and unlimited knowledge based authentication come with Accounting Unlimited. Knowledge based authentication is required for Forms 8878 and 8879, so a 1040 practice on Accounting Pro pays per signature on top of the seat price. That is why $85 per user is the real number for a firm delivering returns. SmartVault does offer volume discounts on larger SmartRequest bundles, so ask for a quote at your volume rather than assuming list price.
Tax Team includes 200 tax automations per seat per year, made up of 100 organizers and 100 deliveries, plus 100 eSignatures. Two seats cover 200 returns with nothing extra to buy.
The structural difference matters more than the totals. Liscio’s allowance scales with seats. SmartVault’s costs scale with volume in two places at once: document requests are priced per return, and eSignatures are charged per send below their top tier. Your seat count is stable. Your return count grows, and so does your signature count. At 100 returns the annual gap is around $900. At 200 it is over $2,100, and it keeps widening in the same direction.
This is the practical version of it. Ask any vendor what a return costs you all in, not what a seat costs. A per seat price tells you very little when the per unit fees sit underneath it.
One more thing worth knowing if you are pricing Liscio. At 200 returns, Tax Team is cheaper than Liscio Platform plus a la carte, which would run $1,176 in seats plus $2,000 for 200 organizers and 200 deliveries at $5 each. The crossover is around 120 returns. Below that, Platform plus a la carte costs less, and bulk pricing on organizers moves the line further.
And the two firms are not buying the same thing at those totals. SmartVault’s higher total gets you a request list and an electronic signature. Liscio’s lower total gets you a request list and a guided delivery walkthrough that includes payment links and estimated payment reminders.
Which one to pick
Choose Liscio if your firm wants the filing work assisted rather than relocated, if you are one or two people and would prefer to not pay for empty seats, if a large share of your documents come from clients rather than tax software, if inconsistent manual naming is making files hard to find, if you want integration with Google Drive, SharePoint or OneDrive, or if you are tired of walking 1040 clients through their returns by phone.
Choose SmartVault if your firm runs Lacerte, ProSeries or ProConnect and wants the direct Intuit integration, if your security review specifically requires ISO 27001 or SOC 2 Type 2, or if you prefer files and folders without automated assistance.
Neither product is practice management. If you run Karbon, Jetpack, or Canopy for workflow, you are choosing a document layer here, and you can keep the practice management system you have.
